Buildertrend pricing for a five-person residential builder

Check the renewal quote against homeowner approvals, setup services, and the cost of moving open jobs.

Your Buildertrend renewal quote arrives while five people in the office and field are managing active jobs. Homeowners already use the portal to make selections. Before accepting the price or moving those clients, check what the subscription includes and whether the allowance approvals your team relies on will remain usable.

Buildertrend pricing requires a company-specific quote on its main pricing page. A separate official page advertises a starting price, discussed below, but it does not establish your renewal amount. Evaluate Buildertrend when residential selections, homeowner communication, and job financials belong in one workflow. Stay if that workflow works and a cheaper alternative would require rebuilding active records without a clear operational benefit.

Kartik Deshpande checked the official sources on October 20, 2026. The calculations and allowance exercise below are proposed evaluation examples, not firsthand results. Permute publishes this article and sells connected business data and custom applications.

The public offer and your renewal terms

Buildertrend’s main pricing page asks for builder type and annual construction volume before offering a custom quote. It advertises unlimited users and projects. Do not multiply a company subscription by five because five employees need access, or assume an older Essentials, Advanced, or Complete price still applies.

A concurrent official pricing page advertises “Starting at $499 per month” and 10% savings for paying upfront annually. It also describes unlimited users and projects. Both pages were live when checked. Treat that starting figure as a question for sales, particularly for a renewal, rather than proof that every builder qualifies.

Keep a copy of the offer and ask which terms apply to your account. Record the currency, contract period, payment dates, renewal price, cancellation deadline, and any conditions attached to a discount. If the signed proposal differs from the public offer, resolve the difference before authorizing payment.

Price the same five-user operation for twelve months

Use a US residential builder with five internal users, six active jobs, homeowner access, and subcontractor participation. The required workflow includes selections, allowance adjustments, approvals, and the handoff to invoicing. Keep this scope unchanged when requesting another vendor’s proposal so a smaller feature bundle does not appear cheaper by omission.

Budget lineTwelve-month treatmentEvidence still needed
Company subscriptionUnknown until quoted for this account.Signed USD price, term, and included scope.
Advertised starting-price illustration$499 × 12 = $5,988 before any discount.Eligibility for the advertised starting amount.
Annual-upfront illustration$5,988 × 90% = $5,389.20 if the advertised discount applies to that base.Written annual invoice and discount eligibility.
Setup and migrationUnpriced; keep separate from subscription.Deliverables, excluded records, training, and fees.
Payment and other servicesUnpriced until usage and terms are agreed.Processing charges and any optional service commitments.

The two calculated totals are illustrations of the advertised offer, not a confirmed five-user quote. They exclude taxes and unpriced services. For a renewal, compare the new proposal with your current invoice and actual scope; the starting-price arithmetic alone cannot establish either an increase or savings.

A seat-limited alternative needs a different calculation. The Contractor Foreman pricing analysis explains why five internal users can require a larger package.

If your work has shifted toward larger commercial projects, use the Procore pricing analysis as a separate scope check rather than assuming the products serve identical jobs.

Put the required workflow in the proposal

The main pricing page lists scheduling, daily logs, selections, change orders, job financials, and client communication. Convert that list into acceptance requirements. Ask the representative to show your intended account, including any legacy behavior, and attach the agreed scope to the proposal.

  • Homeowner visibility: The owner sees the intended choice and price without receiving internal cost information you meant to restrict.
  • Approval evidence: A later reviewer can identify the accepted option, amount, signer, and approval time.
  • Cost handoff: The approved adjustment reaches the intended budget and invoice without being entered twice.
  • Account configuration: The demonstrated selection experience matches your existing or proposed account.
  • Exit and archive: The team can retrieve the agreed records, attachments, and evidence after the chosen cutover.

Buildertrend describes homeowner access to project communication and approvals on its client portal page. Evaluate it using a homeowner account, not an administrator preview alone. An office user who can find every record has not demonstrated what the homeowner can see or approve.

Run one allowance through approval and billing

Use a hypothetical $4,000 fixture allowance and a $4,650 selected package. Both figures use the same supplied-and-installed scope, with zero tax and no added markup for this exercise. The overage is $650. If your contract applies markup or tax, agree those inputs before testing and show them as separate amounts.

Buildertrend’s current selections documentation describes Options tied to Allowances, homeowner approval through the Client Portal, a saved electronic signature, and an Activity Log. It directs accounts created before December 17, 2025 to legacy documentation. Confirm which experience your renewal retains before following the newer instructions.

In an evaluation job, create the allowance, attach the fixture specification to the option, and have the homeowner inspect the $650 difference. Ask the homeowner to decline the first proposal, then approve a corrected version. Retain the accepted specification and verify who approved it. This is a proposed test of your configuration; no result has been observed here.

Next ask the office to trace the adjustment into the intended invoice. Confirm that the original allowance is not billed again and that an approved selection does not appear as a collected payment. Save the record references and screenshots from the demonstration. They give the team a repeatable check after configuration changes.

A subscription decision needs both an agreed annual scope and evidence that the homeowner approval survives the billing handoff.

Scope setup before moving an open job

Buildertrend’s support page describes setup and training services. Ask which are included in your proposal and who prepares the source data. A migration deliverable should identify job names and IDs, customers, cost codes, open allowances, approved options, attachments, and unresolved decisions. Keep a list of anything the service will not transfer.

Choose a completed job and one active job as samples. Reconcile the allowance and approved adjustment totals, inspect the homeowner view, and test retrieval of the original signature evidence. Reconnect accounting only after deciding which system owns each open invoice. Do not import an approved charge as a new transaction if it has already been billed.

If you are considering leaving, run the same sample in the destination before giving notice. The Buildertrend alternatives comparison follows selections and change approvals across three candidates. Keep the current portal open for unresolved decisions until the team has an agreed destination and the customer knows where to respond.

Where Permute fits around job reporting

Permute sells connected business data and custom applications. We can scope reporting across permitted project exports, accounting records, and the spreadsheets used to track decisions. Match job and cost-code identifiers while keeping the source references, rather than assuming two similar project names identify the same job.

Define an approved adjustment separately from an invoice and a collected payment. A builder reviewing outstanding changes can then inspect the underlying approval, invoice reference, and data freshness. Missing evidence should stay visible so a reported total does not imply that an unverified amount is ready to collect.

Explore a traceable report across job records

Start with one permitted project export and its related accounting records.

Keep client approvals in the agreed application

Permute is not offered here as a packaged Buildertrend replacement or a homeowner selections product. This article promises no native Buildertrend connector or automatic migration. Verify data access and supported operations before relying on a combined report, and preserve the original approval record in its designated application.

Accept the renewal when its written scope and price fit the workflow your team can demonstrate. Keep the starting-price illustration separate from the amount offered to your company. Compare migration work and unresolved homeowner decisions before changing products. The allowance test gives the five-person team a concrete way to check what it is paying to retain.

Questions before accepting a Buildertrend quote

Should adding an employee increase the subscription?

The public pricing describes unlimited users, so do not assume a per-seat increase. Ask whether the revised quote changes some other part of your agreement and have the account manager identify that change in writing.

Should I prepay annually before setup is complete?

Compare the discount with the payment and cancellation terms, then agree acceptance requirements before signing. If the required homeowner workflow remains untested, keep that uncertainty visible in the purchase decision rather than treating a discount as evidence of fit.

What if the demonstration looks different from my account?

Ask which selections experience and account configuration the demonstration uses. Repeat the allowance exercise in the version you will retain or receive. A newer screen does not establish that an existing job will move to that experience unchanged.

What records should I retain before cancellation?

Agree an archive covering job identifiers, approved amounts, accepted specifications, attachments, and approval evidence. Test that someone can retrieve and understand a completed decision without access to the live portal. Confirm access deadlines before canceling.
