Your operations register has a small editing team, and now department heads want access to review it. NocoDB pricing depends on the roles they need and where you run the app. Start by separating people who change records from those who read or comment, then check whether the required connections and permissions fit the plan.
Choose Cloud when you want a hosted service and its plan meets the workflow. Consider self-hosting when you need control of the deployment and have someone to maintain it. Keep a working setup if its access rules and total cost remain acceptable; adding reviewers alone is a reason to check billing before undertaking a migration.
Count the roles people will use
NocoDB’s billing documentation identifies Owners, Creators, and Editors as billable, while Viewers and Commenters are non-billable. For Cloud Plus and Business, it describes a cap at nine paid editor seats. Apply that cap to those plans; do not assume every enterprise or self-hosted contract uses the same terms.
A person’s workspace label can be misleading. NocoDB’s workspace collaboration documentation says a workspace Viewer who is an Editor in a project is billable. Review project assignments as well as the workspace invitation before counting free participants. Someone who reviews one register and edits another has a different budget effect from someone who only reads.
Ask reviewers what they need to do during a normal week. Leaving a question about a delivery date is different from changing that date. Write those actions beside each person’s proposed role, including the owner who administers the workspace. If a reviewer must update a status field, include the necessary editing access in the estimate from the start.
An annual Cloud budget for the same roster
NocoDB’s pricing page, checked October 26, 2026, lists Plus at $12 and Business at $24 per seat per month, billed annually. Plus excludes external database connections; Business includes ten. That requirement can settle the choice before seat cost does. A team working within imported tables may evaluate Plus, while a team that needs an external database should start with Business or another eligible plan.
Use an illustrative roster of five paid participants, including the workspace owner, and ten reviewers who remain Viewers or Commenters everywhere. Everyone participates for a full year. These USD calculations cover annual-billing subscriptions only, excluding taxes, implementation, extra usage purchases, and negotiated terms. They are documented price calculations, not invoices or hands-on trial results.
| Cloud plan | Same five paid participants and ten reviewers | Annual subscription calculation |
|---|---|---|
| Plus | 5 paid seats; reviewers stay in non-billable roles | 5 × $12 × 12 = $720 |
| Business | 5 paid seats; reviewers stay in non-billable roles | 5 × $24 × 12 = $1,440 |
The lower amount is useful only if Plus supports the intended deployment. Confirm capacity and access requirements before comparing totals. If the editing group expands beyond nine, request an updated estimate that applies the documented cap, and check the result in billing before accepting it. A seat cap does not mean unlimited storage or usage.
For another spreadsheet-style database, Baserow pricing shows how its role mix changes the budget. Carry the same roster into that comparison. A plan that charges differently for reviewers can look cheaper or more expensive when the number of people is held constant but their permissions are not.
Try the review task with a separate identity
Prepare a fictional delivery register with an order reference, supplier identifier, due date, status, and internal margin. Include a record the reviewer may access and one they must not see. In each candidate deployment, create or import the sample table, assign the intended role, and sign in as that reviewer. The expected output is a reviewable delivery record with only the allowed information and actions.
Try adding a comment, changing the delivery date, opening a related record, and exporting the visible data. Remove access and repeat the attempt. These are proposed acceptance checks, not results from testing NocoDB. A role suitable for commenting may still be too broad for a supplier who should see only their own orders, so establish the required scope before inviting outside users.
NocoDB’s pricing page places row-level security in Scale. If your test requires different people to see different rows, evaluate that plan and obtain a matching quote rather than treating a filtered view as proof of enforced access. The Plus and Business amounts above do not price that requirement.
Community has an operating budget even without seat fees
The Community listing is free and self-deployed. NocoDB’s self-hosting documentation describes internal use under its Fair Code Sustainable Use License and says offering a hosted or managed service to third parties can require a commercial license. Confirm the terms for a customer-facing service before assuming an internal deployment budget applies.
Run the same sample review task on the proposed self-hosted edition. Include the server and database, attachment storage, monitoring, security maintenance, upgrades, and recovery work in its annual estimate. Assign an owner for failures outside business hours. There is no verified all-in self-hosted total here because the infrastructure, required paid features, and staff cost depend on your deployment.
NocoDB’s backup instructions cover the database, attachments, and configuration. Schedule a restore rehearsal as part of the evaluation: recover the sample instance, open its attachment, and verify the reviewer’s access again. A saved data file alone does not demonstrate that an app can be restored after its host fails.
Move a sample before committing to the switch
NocoDB documents CSV, JSON, and Excel downloads in its table export instructions. Export a sample and check which rows and fields it contains. Keep a separate inventory of relationships, formulas, attachments, credentials, roles, and automation behavior; a downloaded table is not evidence that the destination reproduces the whole application.
At the destination, compare source identifiers and row counts, inspect linked records, and reconnect integrations using approved credentials. Recreate the review task and compare the result against the original register. Hold the old app available until its owner accepts both the data and access checks. For a broader shortlist, free Airtable alternatives covers other starting points without assuming a free plan removes migration work.
Where Permute fits: identifying the supplier behind each row
Permute is the connected business data and custom application software we sell, so our interest in this decision is commercial. When a delivery register and QuickBooks use different supplier identifiers, we can help define which records belong together while preserving the evidence behind the match. A similar company name alone should leave the match open for review.
We can reuse the approved matching rule and your declared status definitions in a report or custom app. An operations owner can inspect the source identifiers, unresolved matches, and data freshness behind a supplier view, subject to access permissions. That work becomes relevant when the register must agree with information maintained outside it.
Examine a supplier dataset
Start with permitted records and see which identifiers need a shared definition.
Keep the connection and implementation scope explicit
We do not sell NocoDB subscriptions or promise a native NocoDB connector. Source access, data movement, and any permitted actions need their own implementation scope. Enterprise app development covers the planning involved when an app depends on shared business data. A working NocoDB register can remain appropriate while that surrounding data work is evaluated.
Choose after the reviewers have a tested role
Price NocoDB from the actions each person needs, including access granted inside individual projects. Compare Cloud plans on the same annual roster and exclude plans that cannot meet the connection or permission requirement. For self-hosting, add a named maintenance owner and a demonstrated recovery process to the budget. Keep the existing app when those checks do not establish a reason to move.
Scope the data behind the operations register
Bring a sample workflow to discuss record matching, access requirements, and the work needed to connect its sources.
Questions about NocoDB costs and reviewer access
Will adding ten reviewers mean ten paid seats?
Not if they remain in the documented non-billable Viewer or Commenter roles throughout the workspace and its projects. Check effective permissions before sending invitations. A reviewer who edits another project can change that count.
Is self-hosted NocoDB free to operate?
Community has no subscription charge in the published listing, but someone still pays for infrastructure and maintenance. Budget for backup recovery and upgrades as well as hosting. Required commercial features or a third-party service offering can change the licensing decision.
Can the cheaper Cloud plan use an external database?
The checked Plus listing excludes external database connections, so the $720 example does not cover that workflow. Business includes external connections under the published allowance. Confirm the database and access arrangement before purchasing.
What belongs in the migration budget besides importing rows?
Include the time to check relationships, rebuild configuration, reconnect integrations, and verify each role. Keep both environments available for the acceptance period. An export that opens without errors can still omit something the working app depends on.
