Power Apps alternatives for an internal operations app

Compare the work needed to preserve backend access, approvals and support before moving an app out of Microsoft.

Your operations app needs another data source, and the change raises questions about licensing and who will maintain its connections. Evaluate Power Apps alternatives against that specific constraint: Retool for a team maintaining query-backed interfaces, Appsmith for a team that wants to manage database or API queries in its app, and Zoho Creator for a form-and-workflow application whose logic can stay in Creator. Keep Power Apps when its existing access and administration model still meets the job.

Use the same internal purchase-request workflow for each candidate: an employee submits a request, a manager approves it within an assigned department, and operations checks its status against the accounting record. The comparison uses vendor documentation checked November 2, 2026 (not a hands-on benchmark). External customer portals, offline field work and a replacement accounting system require separate evaluations.

Identify the constraint in the current Power Apps app

Start with the app, its flows and the systems they reach. Microsoft documents standard and custom connectors, including several authentication choices. A connection can change the implementation and licensing requirements, so record the actual connector and identity rather than treating every Microsoft 365 subscription as the same starting point.

Microsoft also warns that an app’s license designation can miss a premium connector used by a connected flow. Check the whole workflow before concluding that an unexpected license requirement demands a rebuild. The existing Power Apps pricing discussion covers subscription budgeting; this comparison concerns the work and controls behind a replacement.

Give every candidate the same access and approval cases

Create fictional requests for two departments and give the manager access to only one. Test the list, direct record lookup and approval endpoint with that manager’s account. Then remove the assignment and repeat. A filtered screen is insufficient evidence when an API or a different query can still retrieve or update the other department’s request.

CandidateDocumented mechanismAcceptance evidence to require
Power AppsDataverse security roles when Dataverse is the backendEffective access across all assigned roles and teams
RetoolAuthenticated user context in queries and separate resource controlsEvery query and update enforces the department boundary
AppsmithAuthenticated API datasources and database/API queriesBackend authorization works with the configured datasource identity
Zoho CreatorAn application defined through forms, reports and workflow structureThe required approval and access behavior survives the proposed rebuild

For each trial, keep the input request, expected approving identity and backend outcome constant. Include a double click, an expired session and a request whose amount changed after approval. These are proposed acceptance tests, not claims that the products fail them. Ask who will own failures after launch and where an operator can find a rejected or uncertain outcome.

Retool fits an app maintained alongside resource queries

Retool documents apps that connect to resources through queries and functions. For the purchase request, the implementation would retrieve permitted requests, call the approval operation and show the returned status. This is a useful candidate when someone can maintain those resource queries and the backend contract as the workflow changes.

Its current_user documentation explains user-aware filtering and warns about queries that omit the filter. Keep authorization in the appropriate backend or resource policy and verify the selected plan’s controls. Rebuilding the screen does not establish that the accounting service accepts the right identity or rejects a repeated approval. Review Retool pricing separately for builder, internal-user and external-user scope.

Appsmith fits a team that will own queries and deployment choices

Appsmith documents database and REST API datasources. An implementation can load the request register and invoke a separate approval API rather than embedding accounting credentials in browser code. Its authenticated API datasource supports configuring the authentication used for that connection; the exact method still has to match your backend.

Appsmith’s security documentation describes server-side credential handling. That is one part of the design, not proof of department-level authorization: a shared service credential needs a backend contract that verifies the caller and permitted action. Consider Appsmith when a technical owner can maintain that contract, queries and the chosen hosting setup. Include upgrades, monitoring and recovery responsibilities in a self-hosted estimate.

Zoho Creator fits a form-and-workflow rebuild inside its environment

Zoho Creator’s application documentation describes application structure and Deluge Script files. Evaluate it when the proposed request form, reports and workflow can be implemented and maintained in Creator. Recreate the approval rules against the same acceptance cases instead of assuming that similar labels mean equivalent behavior.

An application-structure export is not evidence that the workflow runs on an arbitrary replacement runtime. Separate records, attachments, application structure, identities and external connections in the exit plan. Require confirmation of the relevant plan, integration limits and deployment arrangement; this comparison does not assert that every Creator edition supports the same controls.

Estimate a workflow rebuild, including the rollback boundary

Inventory formulas, flows, schedules, service identities, permissions and record attachments before accepting a migration quote. Choose a stable request ID that both systems can preserve, then reconcile completed and open requests around the proposed cutover. An exported table cannot prove that an approval rule, notification or failed operation has moved with it.

Give one owner the cutover decision. Agree which system may accept new requests during the transition, how uncertain updates are reconciled and what triggers rollback. Build a full estimate covering licenses, implementation, integration, operation and training. A lower displayed seat rate can coexist with a larger first-year delivery cost; no savings claim follows from the product category alone.

Where Permute fits: shared business data behind the app

Permute is the connected business data and custom application software we sell. We have a commercial interest in this comparison. We can reconcile permitted source records, preserve their identifiers and surface unresolved matches when an app and an accounting report disagree.

We can reuse declared definitions, such as which requests remain open, across a report or custom application. An operations manager can inspect the source evidence and freshness behind an answer under the applicable permissions. That work can be useful while the existing Power Apps application stays in place.

Inspect the data behind an operations report

Start with a permitted dataset and compare its source identifiers and definitions.

Keep integration and application scope explicit

We do not promise a native Power Apps, Retool, Appsmith or Creator connector here. Each source and application needs a scoped implementation, with explicit permissions for any action. We read connected source records; this article does not authorize automatic write-back or establish that an existing approval flow can be imported unchanged.

Choose the smallest change that meets the verified requirement

Keep the current application when its license and access configuration can meet the requirement at an acceptable cost. Shortlist a replacement around the team that will maintain its queries, workflow and operations. Require the same request and department-boundary tests before comparing complete estimates. Move only after the destination preserves the evidence and behavior needed to operate the workflow.

Scope the application and source-data work

Bring the current workflow and a disputed report to discuss access, source evidence and delivery boundaries.

Questions about replacing a Power Apps workflow

Does a Microsoft 365 license cover every Power Apps workflow?

Check the exact app, connectors and connected flows. Microsoft warns that the app’s displayed license designation can omit a premium connector inside a flow, so a familiar subscription name does not settle the complete requirement.

Can an alternative import the whole app without rebuilding it?

This comparison does not establish a complete import path. Inventory formulas, flows, identities, attachments and permissions separately from records, and require a working example before accepting an automated-migration claim.

Does self-hosting remove the need for backend authorization?

No. The API still needs to reject requests outside the caller’s department and handle repeated or uncertain approvals. Hosting location does not establish that those checks exist.

Which candidate has the lowest total cost?

The answer depends on the required plan and delivery work, so no lowest-cost winner is established here. Compare the current renewal and improvement estimate with licenses, rebuilding, integration and operation for a replacement that passes the same tests.
