What the template records

Use this construction budget template to review one project's costs at a stated cutoff. The Excel workbook calculates revised budget, actual costs plus open commitments, and remaining budget by cost code. The printable PDF provides a meeting worksheet. Keep a source reference for each amount and separate pending changes from approved budget revisions.

How to use it

  1. Record the project, company, cutoff, currency, and budget version. Enter one cost code per row using the approved project budget. Use a common cost scope (including the agreed tax and overhead treatment) for budget, actuals, and commitments.
  2. Enter approved budget changes separately from the original budget. Open commitments must include only the unpaid or unposted portion that is not already in actual costs. Enter zero when a source confirms no amount; leave missing inputs blank. The Excel formulas calculate revised budget as original budget plus approved changes, then subtract actuals and open commitments to show remaining budget and its percentage of revised budget.
  3. Review negative remaining amounts and incomplete rows with the cost owner. Add expected costs that are not yet committed to a separate cost-to-finish review before making a completion forecast. Retain the source references, approval records, and dated budget version with the reviewed file.

Print the PDF at actual size on US Letter paper. The CSV is a blank input sheet with column headers; it has no formulas, macros, or automatic refresh. Open it in Excel or import it into Google Sheets, then save a dated copy with your evidence.

The Excel workbook includes formulas in labeled output columns and shaded cells for your inputs. Keep formulas intact, complete each active row, and review the calculated results before sharing. It contains no macros and does not connect to source systems.

Review before sharing

  • Open commitments exclude amounts already in actual costs.
  • Budget changes have approval references.
  • Missing inputs remain visible before totals are shared.

Remaining budget after actuals and open commitments is not a forecast of final profit or cost to complete. Uncommitted future work can consume that balance. Pending changes do not enter the approved budget until authorized, and the workbook does not post costs or change source records.
