What the template records

Use this construction WIP report template to review a job's inputs and billing position at a common cutoff. The PDF separates contract and cost inputs from the calculated results you record. The CSV supplies blank columns for a multi-job review, with source and estimate revision references. Neither file contains formulas.

How to use it

  1. Record the company-scoped job ID, cutoff, currency, and finance-approved reporting basis. Collect approved contract value, qualifying cost to date, estimated total cost, and cumulative billings for that same scope. Estimated total cost includes costs already incurred and the amount still expected to finish (do not add actuals to that total again).
  2. When finance has approved the cost-to-cost method for the job, calculate percentage complete as qualifying cost to date divided by estimated total cost. Multiply it by approved contract value for earned revenue. Record underbilling as the positive excess of earned revenue over billings, or overbilling as the positive excess of billings over earned revenue. Keep the two positions separate across jobs.
  3. Stop the affected calculation when estimated total cost is missing or zero. Refer costs exceeding the estimate, pending contract changes, and inconsistent billing definitions to the finance owner. Preserve the approved estimate revision, source evidence, and reviewer decision before sharing the schedule; keep collections in a separate cash review.

Print the PDF at actual size on US Letter paper. The CSV is a blank input sheet with column headers; it has no formulas, macros, or automatic refresh. Open it in Excel or import it into Google Sheets, then save a dated copy with your evidence.

Review before sharing

  • Inputs share the approved scope and cutoff.
  • Estimate and contract revisions are retained.
  • Underbilling and overbilling are reported separately.

The worksheet does not choose an accounting method, determine revenue recognition, or post adjustments. Finance must approve the costs, contract value, and billing basis used. Underbilling does not establish a right to invoice, and overbilling does not establish available cash.
