What the template records

Use this inventory count sheet to record physical stock by SKU, lot, and location at a defined cutoff. The printable PDF keeps book quantities off the sheet so counters can record what they observe. The CSV gives you editable rows for the same count evidence. It does not calculate valuation or post inventory adjustments.

How to use it

  1. Define the facility, area, count date, and cutoff before issuing sheets. Give each sheet an ID and name the counter and reviewer. Agree how receipts, picks, transfers, and stock in motion will be recorded during the count so a movement cannot be counted twice or missed between locations.
  2. Use one row per SKU, lot, location, and unit of measure. For example, 12 cases of 24 each represent 288 each only when the item’s approved conversion is 24 each per case. Keep the observed quantity and unit on the count record; do not change units without retaining the conversion used. Record empty locations as zero and leave uncounted locations marked as uncounted.
  3. Record a recount separately when the reviewer requests one. Compare accepted physical counts with book quantities at the same cutoff, then investigate receipts, issues, and transfers behind any difference. Preserve the original count, movement references, and the approved resolution before an authorized owner changes inventory records.

Print the PDF at actual size on US Letter paper. The CSV is a blank input sheet with column headers; it has no formulas, macros, or automatic refresh. Open it in Excel or import it into Google Sheets, then save a dated copy with your evidence.

Review before sharing

  • Count scope and cutoff are recorded.
  • Zero and uncounted locations are distinguished.
  • Units and stock status are retained.

The sheet captures count evidence; it does not establish the book balance, costing method, or authority to post an adjustment. Keep damaged, quarantined, consigned, and in-transit stock identified under your inventory policy so quantities with different ownership or status do not get combined.
