Construction document management software: 3 options

Evaluate drawing revision control, subcontractor access, and the handover archive before moving a project’s documents.

A subcontractor opens a saved drawing on site after the design team has issued a revision. You need to establish which version was distributed, replace the field copy, and retain the old one for the project record. Construction document management software should make that sequence checkable without relying on someone’s inbox.

Evaluate Procore when drawings belong in an existing Procore project workflow, Autodesk Forma Build when you need its sheet publishing and handover tools, and Bluebeam Studio Projects when the requirement is controlled file collaboration around PDFs. Keep your current system if it already passes the revision and archive tests below. This comparison uses official documentation checked October 16, 2026; it does not claim firsthand testing.

Separate the current drawing from the historical record

A revision history answers what changed over time. The field view answers which drawing someone should use now. Your closeout archive has another job: preserving the selected documents and their relationships after the project subscription ends. Check all three rather than treating file storage as proof of a complete document-control process.

  • Can the uploader distinguish a revision of an existing sheet from a new sheet with a similar number?
  • Can a subcontractor find the issued drawing without gaining access to restricted commercial folders?
  • Can the team find the superseded revision without mistaking it for the current field instruction?
  • Can a recipient open the handover documents and required references without the original project login?

Keep the decision separate from approving product information or answering a design question. Those workflows are covered in the submittal software comparison. Here the test follows the document after it is ready to be distributed.

How the three document workflows differ

Access to older materialObsolete drawings leave the current set but remain available in All Sets and Revisions.As-built settings let administrators choose current or all sheet versions for export.Revision History retains prior versions with viewing and restore options.

All three document a way to preserve or retrieve earlier material. Their packaging differs: a file revision in Studio Projects is not the same administrative object as a published construction sheet. Choose the structure your document controller can maintain, then test how it appears to a field user.

Follow drawing A-101 through a revision and handover

Use a hypothetical drawing A-101, revision 1, and an issued revision 2 that changes a doorway location. Include a marked PDF, the issue date, and a named recipient from the electrical subcontractor. The acceptance result is revision 2 in the intended field view, revision 1 available as history, and a handover package whose included versions are identifiable. Do not treat a sent notification as proof that the recipient read the change.

Procore: verify the drawing-number match

Procore’s revision upload instructions describe recognizing an existing drawing number and associating the upload as its revision. Upload both example files, review the identification, and inspect the current drawing as the subcontractor. If a whole sheet is withdrawn, test the separate obsolete action; withdrawal and replacement are different events.

Download the selected drawing with its required markups. Procore’s download documentation says linked items in the PDF point back into Procore, so test access from outside the project. A readable drawing does not establish that every linked record is available to the eventual owner.

Forma Build: check publishing and export settings

Autodesk’s Sheets list documentation describes publishing sheets and identifying their version sets. Have an authorized member publish the example revision, then inspect it with the recipient’s permissions. Check the export choices for markups as well as the version displayed on screen.

For handover, ask a project administrator to produce the as-built export. Autodesk allows selection of current or all sheet versions and provides local links for supported related documents. Inspect the resulting ZIP offline, with the browser signed out, and check that its selected scope matches the handover requirement.

Bluebeam: keep the issued file in Studio Projects

Use Studio Projects for the stored file and its history. Following Bluebeam’s file-management procedure, check out A-101, replace it with the revised PDF, and check it back in. Inspect the older revision and have the subcontractor open the permitted folder. Download a copy of the project folder for the archive test.

This is a plausible fit when PDF review and controlled files are the main requirement. Keep a documented convention for issued versions and withdrawn sheets. Do not assume that using Studio Projects recreates the sheet publishing, downstream project records, or handover packaging of the broader construction tools.

Price five internal users for one year

Use the same hypothetical US workload: five internal users, two projects, 500 sheets with revisions, ten invited external recipients, USD, and a twelve-month subscription. Ask for publishing, revision access, download rights, storage, and the archive procedure demonstrated above. State whether external recipients need to edit or only view documents.

Procore quotes annual pricing by products and construction volume; this total remains unknown. Its unlimited-user model has a stated Field Productivity exception. Autodesk lists full Forma Build at $1,400 per user annually, or $7,000 for five internal users. Bluebeam lists Core at $330 per user annually, or $1,650 for five internal users with Studio hosting. These are US subscription subtotals, checked October 16, 2026, before taxes and separately scoped services.

Confirm the entitlements for the ten external recipients and the required archive before treating either subtotal as the full workload cost. The Bluebeam pricing breakdown separates PDF editions by role. Compare the confirmed subscription plus required setup and add-ons, listing internal migration labor separately. If you already license one product, ask what the additional workflow costs before comparing that amount with a complete new subscription.

Where Permute fits with project evidence

Permute is the connected-data and custom-app software we sell. We help bring supported project records and other business data into structured reports or applications with source references and access controls. A configured report could use declared project identifiers to relate a document register to another permitted dataset; it should retain the reference needed to inspect the originating record.

Define what issued, superseded, and missing mean before combining registers. A project manager reviewing an exception needs its project, document identifier, revision, and source, rather than a total with no way to inspect the underlying records. Verify the available connector fields and refresh behavior before specifying the report.

What remains with the document-control system

Permute does not replace the authoring, sheet publishing, or field distribution functions compared here. We do not determine whether a drawing is approved for construction. Keep that authority and the source document history in the system and process responsible for issuing them.

Inspect your project data

Start with a permitted document register and the project identifiers you need to reconcile.

Move a sample archive before the live project

Inventory current files, revisions, markups, issue dates, permissions, and external links. Export a sample and check it with someone who did not prepare it. Preserve the old archive until the owner confirms that required historical records remain usable. Copying PDFs into a new folder does not recreate revision relationships or audit history.

Rebuild access groups, publishing responsibilities, folder structures, and connected workflows in the destination. Questions tied to drawings need their own migration check; the RFI software comparison covers that record and its response. Run the field-view and signed-out archive tests before selecting a cutover date.

Choose document management software by the revision process your project needs to preserve. Procore and Forma Build deserve evaluation where sheet distribution belongs in the wider project workflow, while Studio Projects merits a look for controlled PDF-centered collaboration. Check the field view, historical record, and handover package with the same drawing. If the existing tool meets those requirements, a clearer publishing process may be the better next step.

Review project records across your tools

Bring a document register and a reporting requirement to scope which references and permissions need to carry through.

Questions about construction document control

Should superseded drawings be deleted?

Retain the history required by the project’s agreed recordkeeping policy while separating it from the current field view. Deletion can remove evidence of what was distributed earlier. Check how the selected product represents replacement and withdrawal before setting the procedure.

Can software stop someone using an old downloaded PDF?

A downloaded copy can remain outside the application’s current-version view. Establish how the field team replaces local copies and checks the issued drawing before work. Include that behavior in the pilot rather than treating publication alone as proof of adoption.

Does an as-built export prove that the drawing matches installed work?

An export packages the selected project records. The project team must still establish whether those records describe what was installed and meet the owner’s acceptance requirements. Keep that review separate from the software’s export result.

Can the owner use the archive after project access ends?

Test it without the original login before handover. PDFs may open while their links still point to restricted project records. Confirm the included files, references, and selected revision history with the recipient before ending access.
