Free construction project management software: 3 options

Choose a free plan around the people who need field access, the documents they use, and the work someone must do to maintain it.

You have a small job to organize, and the superintendent needs to share open work with a few subcontractors. Free construction project management software can cover that task if its access and document limits fit the job. Start with Fieldwire Basic for field coordination, Trello Free for a shared task board, or OpenProject Community if you have someone to run the software on your own infrastructure.

These are three different ways to handle a limited scope, not a ranking of complete construction suites. The comparison uses official vendor documentation checked October 14, 2026; it does not report hands-on tests. Permute publishes this article and sells connected business data and custom applications. Its separate commercial role appears below, outside the free shortlist.

Keep the current project tool if the owner requires it or your crew depends on a workflow the proposed free plan cannot retain. For every candidate, use the same crew size, active projects, drawing count, and twelve-month period. Record hosting, backup, and setup costs separately from a zero license price, especially for a self-managed installation.

What does the free plan need to cover?

Write down who needs an account before entering project data. Include the office coordinator, field supervisor, and outside people who will update work. A plan that fits your employees may stop fitting when each trade needs access. Use individual accounts so you can remove a departing subcontractor without changing credentials for everyone else.

Next, separate task coordination from formal project administration. Recording a repair with a photo is a narrower requirement than managing drawing revisions, contract approvals, and cost changes. If the whole project system needs replacing, the Procore alternatives comparison covers that broader purchase. Keep the free-plan evaluation tied to the work you intend to put into it.

  • Access: can an outside collaborator update assigned work without opening another project or confidential commercial records?
  • Documents: can the field user identify the approved revision when an older copy has the same filename?
  • Connectivity: what can a person read and update on the actual site device when the connection drops?
  • Handoff: can the office retrieve the task reference, photo, responsible person, and completion evidence after the job ends?
  • Ownership: who restores access or data when the person who set up the tool is unavailable?

Fieldwire Basic for a small field team

Fieldwire’s plan comparison includes plan viewing, task management, files, photos, and checklists in Basic at $0 per user per month. That gives you a construction-specific starting point when the task involves finding a drawing and recording work on site. Its published free allowance is small enough that you should count participants and sheets before uploading the project.

Try it with a punch list, meaning the remaining items that need correction or completion. Ask a field user to find the location, record the issue, and attach a photo. Then have the office retrieve the evidence. Fieldwire lists reports and exports in Pro, with formal requests for information, submittals, change orders, and budgets in Business Plus. Budget for the required tier if those are part of the job.

Trello Free for task coordination

Trello’s Free plan includes unlimited cards, assignees, due dates, and mobile apps within its Workspace limits. It is a candidate when you need a visible list of work that people can update, and the drawing or contract record already lives somewhere else. The published attachment limit is 10 MB per file; check representative site photos and documents rather than assuming they will fit.

For a trial board, create columns for work awaiting assignment, work underway, and work ready for inspection. Give each card a project reference and an owner. Decide who can mark an item accepted, and whether the office needs a separate approval record. Trello lists Custom Fields in Standard and Timeline and Dashboard views in Premium, so those features should not be assumed in a Free setup.

OpenProject Community for a self-managed workspace

OpenProject Community is free software you install on your own infrastructure, with unlimited users and projects. OpenProject says running it requires server-administration knowledge. That makes it a candidate if your organization already has someone responsible for hosting and can include this application in that work.

Assign an owner for updates, backups, recovery, and access before bringing a live job into the installation. Ask that person to restore a test copy and document how another administrator would take over. OpenProject distinguishes Community from its paid Enterprise edition and add-ons. Check the edition for each required feature; a demonstration of a paid edition does not establish the free scope.

Try a field handoff before moving a live job

Consider a hypothetical small renovation. A supervisor records a damaged door, assigns the repair to a subcontractor, and attaches a photo with a drawing reference. The subcontractor uploads a completion photo, but the supervisor finds the wrong finish and returns the item for correction. Run that sequence with sample records and separate accounts.

Inspect what the next person can see at each handoff. Can the subcontractor find the work without an office employee forwarding screenshots? Does the rejected completion remain understandable after the new photo arrives? Have the office retrieve the record using its project reference, then repeat the exercise on the device and connection the crew will use. Record any extra steps the team would need to perform outside the tool.

Keep purchasing approval separate during the exercise. A completed task does not establish that someone approved a purchase or accepted an invoice. If you need that process too, the construction purchase order software comparison addresses commitments and approval handoffs. Decide which record the office will treat as authoritative before using task status in a financial report.

Where Permute fits around project data

Permute sells connected business data and custom applications. We can scope a reporting workflow that combines supplied project records with supported accounting sources. The work starts with matching project references to accounting job codes, keeping ambiguous matches available for review instead of assigning them by guesswork.

Your team defines which record owns each status and what belongs in a reported cost. Those definitions can be reused with source evidence and access controls. A project manager can inspect the records behind an exception within their permissions, while a controller checks the accounting amounts. The construction job cost report explains the financial records involved.

Keep the task reference when combining records so a reviewer can investigate an exception at its source.

Explore the records behind a project report

Inspect an available source and the references your reporting workflow would need to preserve.

Keep the free shortlist and custom work separate

Permute is a separate commercial purchase for connected data and custom work. It is not one of the free construction tools above. The reporting example requires supplied records or an agreed extraction method; it does not promise a native connector to each named product. Confirm source access, costs, permissions, and any proposed action before commissioning the workflow.

Choose around the work your crew can complete

Fieldwire Basic, Trello Free, and OpenProject Community each offer a way to start without a software subscription. Pick the option whose access, document, and operating requirements fit the small job you need to organize. Run the field handoff with the people who will use it and retain the results for the buying decision. If the free edition leaves required work outside the tool, include that work when comparing the next step.

Discuss a project reporting handoff

Bring the project records and accounting references behind one report you need to maintain.

Questions about using free construction software

Should I use a free tool if the general contractor requires another system?

Confirm where the general contractor expects submissions and updates before creating a second record. A separate board can help organize internal work, but assign someone to maintain the required project record and check that the extra handoff is manageable.

Can several subcontractors share an account to stay below a limit?

Use separate accounts for people who need access. A shared login makes it harder to identify who changed a record or to remove one person without disrupting the rest of the team. If individual accounts exceed the allowance, compare a paid plan or another eligible option.

Can I evaluate the free plan during a paid-tier trial?

First confirm which features the trial has enabled. Repeat the required workflow with only the features included in the free edition before committing a live job. Otherwise, the trial can demonstrate a workflow that needs a subscription after access changes.

What should happen to the records after a small job closes?

Assign an owner for the project archive and confirm how the office will retrieve documents and completion evidence. Check the edition’s export and access terms before closing accounts. Keep required records available in a form the responsible people can use.
