Your office team needs access year-round, seasonal staff come and go, and customers only need to review their own jobs. JobTread pricing starts with a $199 monthly base that includes the first internal user. Additional users have tiered charges, while customer and vendor portals are free. For five internal users, the published rates produce $279 per month or $2,678.40 for an annual subscription before taxes.
Use annual billing when the roster and workflow are stable enough to justify the commitment. Consider monthly billing while evaluating a changing team, after confirming how seat changes are billed. Stay with an existing system if it already handles your estimate, change approvals, and accounting handoff and the switch would not solve a specific problem.
Classify people by the work they need to do
JobTread’s pricing page distinguishes internal access from limited external portals. Staff managing jobs, time, schedules, and reports count as internal users; some accountants or other nonemployees may also qualify. Certain field crew with limited photo, note, and task activities can use free access. Confirm each role rather than assuming every subcontractor or field worker belongs in the same billing category.
Make a roster with each person’s required actions and the jobs they may see. An estimator editing budgets has a different need from a customer approving one proposal. Test those permissions with representative accounts before assigning access. A free portal is useful only if it supports the intended interaction without exposing unrelated jobs or commercial records.
Prepared by Kartik Deshpande from official sources checked October 20, 2026, this article contains documented pricing and hypothetical calculations. It does not claim firsthand testing or measured savings. The Buildertrend alternatives comparison covers the separate decision about homeowner selections and change workflows.
Calculate the roster using marginal user tiers
The published user tiers apply only to people within each band. The first user is included; users two through ten cost $20 each monthly, eleven through twenty cost $15, twenty-one through thirty cost $10, and later users cost $5. Annual billing discounts the subscription by 20%. All figures here are USD.
| Internal users | Monthly calculation | Twelve monthly payments | Annual subscription calculation |
|---|---|---|---|
| 5 | $199 + 4 × $20 = $279 | $3,348 | $3,348 × 80% = $2,678.40 |
| 15 | $199 + 9 × $20 + 5 × $15 = $454 | $5,448 | $5,448 × 80% = $4,358.40 |
| 25 | $199 + 9 × $20 + 10 × $15 + 5 × $10 = $579 | $6,948 | $6,948 × 80% = $5,558.40 |
For the five-person scenario, keep the same roster for all twelve months. Annual billing is $669.60 less than twelve payments of $279, before taxes and any other expenses. The annual amount is a payment commitment, not evidence that five temporary seats cost the same as five seats held throughout the year.
For seasonal staff, ask when additions become billable, when removals take effect, and whether annual seat reductions produce credits. Do not invent a prorated result from the published full-year rate. Obtain those terms before deciding that a smaller offseason roster makes annual billing cheaper for your particular year.
The first-user inclusion also matters at larger headcounts. At fifteen users, there are nine people in the $20 band and five in the $15 band. Charging all fourteen additional users at the lower rate would understate the budget. Keep the roster calculation with your renewal paperwork so the next administrator can reproduce it.
Separate software fees from payment-processing fees
JobTread’s payment-collection page lists its Stripe integration at 2.95% plus $0.30 for a successful card charge. Its ACH description is $1 plus 1%, with a $15 maximum, and the page provides an example of a $2,000 ACH payment costing $15. Confirm the terms for the actual merchant account before enabling payments.
On a hypothetical $2,000 card payment, that listed card rate gives $2,000 × 2.95% + $0.30 = $59.30. This fee is separate from the JobTread subscription. A signed change order is also separate from a settled payment, so the office needs both approval evidence and the payment status.
JobTread’s Truss integration page describes another route with no monthly fee, free ACH transfers, and card processing at 3.25% plus $0.30. At that card rate, the same $2,000 transaction would cost $65.30. Compare the selected provider’s complete agreement, including refunds and disputes, rather than treating these two published rates as interchangeable.
Estimate processing expense from expected transaction amounts and payment methods. Do not count every invoice as a card payment if customers mostly pay by bank transfer. Leave unknown provider charges unresolved in the budget until confirmed, and keep the subscription comparison independent of those assumptions.
Test an estimate through a changed scope
Use a hypothetical accepted estimate for $10,000 and an additional item priced at $600 on the same tax and fee basis. Ask the estimator to preserve the original scope, prepare the extra item, and send it for customer review. The expected revised amount after approval is $10,600. A rejected change should not be treated as accepted revenue.
JobTread’s change-order documentation describes deriving items from the budget and collecting digital approvals. It also describes manual approvals with an explanation and supporting files. Have the office demonstrate both the customer-portal approval and an approval supported by an external document, showing which person recorded each event.
Then prepare the invoice and inspect the financial status before a payment is recorded. Confirm that the customer can see the agreed scope without accessing another customer’s project. These are proposed acceptance checks, not product results observed during this research. Run them with the intended roles instead of relying on an administrator demonstration.
Scope migration and permission checks before paying annually
Move one completed job and one job with an open change into a test environment. Compare the budget, customer identity, cost codes, attachments, accepted documents, and outstanding invoices with the originals. Ask which history imports and which remains in a readable archive. A successful contact import does not prove that a live financial workflow has moved intact.
Reconnect accounting and payment services under the appropriate owners, then test a correction and a duplicate submission. Verify what activity or approval history remains available and who can inspect it. Remove a seasonal user’s access and check that the person can no longer reach the project, while their historical entries remain attributable.
JobTread advertises included implementation and training, but obtain the scope for your particular records and templates. Budget your own cleanup and acceptance work separately. The Contractor Foreman pricing comparison offers a company-plan alternative to evaluate against the same roster and workflow.
Review renewal and cancellation terms before selecting the billing period. JobTread’s terms state that cancellation during a subscription term does not itself produce a refund and that service ends at the applicable renewal date. Confirm any separately advertised guarantee and its eligibility rather than assuming it applies to every annual purchase.
Where Permute fits around contractor reporting
Permute sells connected business data and custom applications. We can scope reporting across permitted project exports, accounting records, and spreadsheets. Start by matching job identifiers and keeping the evidence behind each accepted change, invoice, and collected payment.
Agree which status each report measures so an owner does not read approved work as collected cash. The construction cost management comparison covers the broader reporting decision after the team chooses where to record the job. Verify access and refresh requirements for any proposed implementation.
Explore reporting across project and accounting data
Start with a permitted job export and the source records needed to check its changes.
Keep customer authorization in the designated workflow
Permute is not presented here as a packaged JobTread replacement or a promised ready-made integration. We do not infer customer approval from an unreviewed message or equate an approved invoice with a settled payment. Confirm the supported data path before relying on a cross-system report.
Calculate JobTread’s subscription from the people who need internal access, applying each user tier only to its own band. Compare the same twelve-month roster under both billing options, then add processing and rollout costs separately. Test a changed scope with customer and office accounts before moving live jobs. Choose the commitment once the workflow and seasonal-seat terms are understood.

Questions about paying for JobTread
Do I add five user charges for a five-person team?
No. The published base includes the first internal user, so the example adds four users in the first paid tier. Recheck the current roster and checkout total before subscribing.
Can every subcontractor use free portal access?
Classify the access the person needs, not just their company relationship. The free external portal supports a limited set of interactions. Someone needing broader internal data or management functions may need a paid user account.
Can I assume unused annual seats will be refunded?
No. Obtain the rules for additions, removals, credits, and renewal before modeling seasonal changes. A published annual discount does not establish how a midterm roster reduction is treated.
Are card processing fees included in the subscription total?
The subscription calculations exclude payment-processing charges. Those depend on the provider, amount, method, and merchant terms. Keep the payment budget separate so a change in collection methods does not distort the software comparison.
