The item screen shows stock, but you cannot promise the delivery. Some units are reserved, a lot is on hold, and the rest sit at another location. ERP inventory management needs to show which records produce that answer. NetSuite, Microsoft Dynamics 365 Business Central, Odoo, and ERPNext are four options to evaluate against your availability rules and the transactions your warehouse records.
This comparison uses official product documentation checked October 14, 2026, rather than hands-on testing or customer reviews. It focuses on inventory decisions within an ERP, not a ranking of the entire business suite. Permute publishes the article and sells connected business data and custom applications; its separate reporting role is explained below.
Keep the current ERP if its transactions work and the unresolved problem is a report or a stock definition you can correct. If finance and inventory both need replacing, the Business Central vs NetSuite comparison uses the same purchasing scenario and separates public subscription prices from quote-only costs.
Separate stock records, planning, and warehouse execution
Start the evaluation with the inventory transactions: receipts, shipments, transfers, returns, and adjustments. They establish the recorded movements and balances. A reservation assigns stock to demand without necessarily moving the goods. Keep those events distinct when asking a vendor to demonstrate what changes the on-hand quantity and what changes the quantity available for another order.
Material requirements planning, or MRP, uses demand and supply information to plan what to buy or make. A warehouse management system, or WMS, handles warehouse work such as where goods are put away and how orders are picked. A report brings records together for a decision. The ERP vs MRP comparison explains the planning scope; specify the inventory and warehouse requirements separately even when one vendor supplies them all.
Choose which question you need the screen to answer: what is recorded on hand today, what is free to allocate, what can be picked at a location, or what is expected by a future date. Those quantities can differ without any calculation being wrong. Make the time, location, unit of measure, and included statuses visible beside the number.
Compare the rules behind the stock figure
Give each vendor the same item and a small set of sample transactions. Include a receipt that arrives late and an order that is canceled after stock was reserved. Ask the demonstrator to show the document behind each change and repeat the sequence using the edition and configuration you would buy.
- Status: does held stock remain distinguishable from stock eligible for the order being discussed?
- Location: can the buyer identify stock at another warehouse without treating it as ready to ship from this one?
- Reservations: does canceling an order release the right allocation while preserving the change history?
- Units: can a reviewer follow the conversion when purchasing uses cases and fulfillment uses individual units?
- Evidence: can the inventory owner inspect the receipt, transfer, or adjustment behind an unexpected balance?
Four ERP options for inventory workflows
| System | Documented inventory capability | Reason to evaluate | Demonstrate before choosing |
|---|---|---|---|
| NetSuite | Multi-location inventory and lot or serial tracing | Inventory spread across locations and fulfillment channels | Which modules and settings cover the proposed workflow |
| Dynamics 365 Business Central | Availability by location, event, and period | Comparing current stock with scheduled supply and demand | Warehouse allocation and reservation effects |
| Odoo | Reservation at sales order confirmation when stock is available | Configuring when stock is assigned to an order | The operation settings and exception behavior |
| ERPNext | Stock reservation against sales orders and pick lists | An explicit reservation workflow to test with warehouse staff | Enabled settings, cancellation, and receipt handling |
NetSuite for inventory across locations
NetSuite’s inventory product page describes multi-location fulfillment, replenishment, and forward and backward lot or serial tracing. Those functions make it a candidate when the evaluation includes stock held in several places and the records behind fulfillment. Its licensing description separates the core product, optional modules, users, and implementation, so confirm the scope shown in the demonstration.
Use an order that could be filled from either of two warehouses. Ask how a transfer changes the answer and what happens if the stock at the preferred location is held for inspection. Include the person who manages warehouse exceptions; they should be able to explain the result without the demonstrator interpreting every field. Trace the same item after a return so the evaluation covers more than a clean outbound shipment.
Business Central for dated availability views
Microsoft’s availability documentation distinguishes quantity on hand from projected available balance. It describes views by location, event, and period, and explains that warehouse allocations and reservations affect availability. This is useful to evaluate when the sales conversation depends on when an expected receipt changes the answer.
Ask the demonstrator to move an inbound receipt beyond the requested shipment date. Inspect the events behind the revised balance, then check what the warehouse can pick today. Keep both results in the acceptance notes. A future balance may support planning while leaving today’s order unfulfillable, so the person making the delivery promise needs to know which view they are using.
Odoo for configured reservation timing
Odoo’s version 19 documentation describes an at-confirmation method that reserves products when a sales order is confirmed and enough stock is available. The reservation method is set on the operation type. That gives you a specific behavior to inspect if the decision concerns when available stock should become assigned to an order.
Demonstrate competing orders for the same item and a shortage that prevents the full quantity from being assigned. Then cancel or reduce an order and inspect what becomes available again. Record which settings produce the result, and have the implementation owner confirm the version, apps, and deployment included in the proposal. Keep any required customization visible in that scope.
ERPNext for an explicit reservation workflow
ERPNext’s stock reservation documentation covers reservations from sales orders and pick lists after the feature is enabled. It also describes unreservation and an optional receipt-based reservation workflow. Its stock level reporting documentation separates actual stock from planning quantities such as ordered and requested supply.
Take a sales order through reservation, partial receipt, and cancellation using the proposed configuration. Ask the warehouse owner to find which quantity is assigned and the purchasing owner to identify which supply is still only requested. Include responsibility for maintaining the installation and any custom behavior in the purchase decision. The demonstration should establish who can resolve an exception after implementation ends.
Test availability with a held lot and a reservation
For a hypothetical test, assume one warehouse has 100 units on hand. Of those, 20 are on quality hold and a different 30 are reserved for an existing order. There are no overlapping statuses or other restrictions. Under a rule that excludes held and reserved units, 50 units remain eligible for a new allocation. An expected receipt of 40 units tomorrow does not increase the stock available to pick today.
Ask each vendor to represent those conditions without forcing its fields to use your terminology. Have the demonstrator explain any difference between its displayed quantities and the test rule. Release the hold, cancel the reservation, and delay the receipt one at a time. Save the resulting documents and answers so another reviewer can repeat the test.
If the on-hand balance itself is disputed, resolve that through inventory reconciliation before using it to assess allocation logic.
For batch-controlled goods, preserve the receipt and movement links described in lot traceability. A total can be correct while a missing lot reference still prevents the team from confirming which stock is eligible.
Where Permute fits across inventory records
Permute sells connected business data and custom applications. We can scope a reporting workflow across supported sources and supplied inventory records, including mappings between item IDs and warehouse references. Uncertain matches stay visible for review, with source records retained so an inventory manager can inspect an exception.
Your operations team defines the availability calculation, including how holds, reservations, locations, and expected receipts affect it. Those rules can support a repeatable report or custom application under the agreed access controls. The result should show its data freshness and evidence so the reader can distinguish a reporting snapshot from the source system’s current allocation decision.

Inspect the inputs to an availability report
Explore an available source and identify the item, location, and status fields the calculation needs.
Keep inventory actions with the responsible system
Permute is a separate commercial option for connected data and custom work, not an ERP, warehouse execution system, or replenishment engine. This reporting example does not promise native access to every product listed or authorize stock adjustments and reservations. Confirm extraction, refresh timing, permissions, and any proposed external action for the agreed scope.
Choose with a repeatable inventory test
All four systems provide inventory capabilities worth testing against the work your team needs to perform. Start with a defined availability question, then compare the transactions and settings behind the answer. Include holds, cancellations, and late receipts in the demonstration. Choose a configuration that your inventory owner can explain and operate when those exceptions occur.
Scope a cross-system inventory report
Bring an item whose reported availability your team cannot currently explain, along with its source records.
Questions about choosing ERP inventory software
Does an unclear inventory report mean the ERP needs replacing?
First check the report’s definition, source timing, and filters. If the transactions are correct and the required controls work, the missing piece may be an explanation or reporting change. Include that narrower option before approving a replacement.
Can an opening spreadsheet balance establish inventory history?
It can provide a starting quantity when validated, but it does not reconstruct earlier receipts, movements, or lot relationships. Preserve available supporting records and identify what history the new system will retain. Do not present an imported opening figure as evidence of earlier physical movements.
Should identical item names be combined across warehouses?
Confirm identity using the item references and agreed mappings before combining records. Similar names may represent different packs or variants, and the same item may have different local labels. Keep the unit and location visible after matching.
Who should accept the inventory configuration?
Have the people responsible for stock records, warehouse work, and order commitments review the scenarios they own. Record the expected answer and the source evidence for each test. Assign unresolved behavior to an owner before relying on the configuration for delivery promises.
