Your free Fieldwire project has five people, and another trade lead needs access next week. Before inviting them, check the roster and the work they need to do. Fieldwire pricing moves from a limited free account to paid access per user; paying for a single administrator does not cover the rest of an upgraded team.
Stay on Basic when its limits and core tools are enough. Consider Pro for reports and sheet comparison, Business for custom forms, and Business Plus for the dedicated RFI workflow. The current US list rates are $39, $64, and $89 per user per month billed annually, respectively. This review uses official documentation checked October 19, 2026, and does not claim hands-on testing.
Basic is free within the account limits
Fieldwire’s pricing and overage documentation limits Basic to five unique users across all projects, three total projects, and 100 total sheets. These are account-wide allowances, not fresh allowances for each project. If you exceed one, the documented choices are to upgrade or bring usage back within the limits.
The plan comparison includes plan viewing, task management, files, photos, specifications, and checklists in Basic. Reports and exports begin with Pro; custom forms begin with Business. Keep Basic if you only need the included work and can remain inside the limits without removing people who need the records.
Fieldwire distinguishes its ongoing Basic plan from a paid-feature trial. Record which tier is active during a demonstration so you do not mistake a trial feature for a free entitlement. The free construction software comparison covers other limited free options.
Five users for twelve months
Use a hypothetical US team of five unique people who need access throughout the year, with no separately licensed external collaborators or custom contract. All calculations are USD before tax and exclude implementation services. Annual billing means paying for the year upfront; the monthly figures below use twelve monthly payments for the same five people.
| Plan | Per user/month, billed annually | Five users, annual prepayment | Per user/month, monthly billing | Five users, twelve monthly payments |
|---|---|---|---|---|
| Basic | $0 within limits | $0 within limits | $0 within limits | $0 within limits |
| Pro | $39 | $2,340 | $54 | $3,240 |
| Business | $64 | $3,840 | $79 | $4,740 |
| Business Plus | $89 | $5,340 | $104 | $6,240 |
Annual rates come from the current pricing page, and monthly rates from the pricing and overages article. For example, five Pro users cost 5 × $39 × 12 = $2,340 with annual billing. The same calculation at $54 produces $3,240 for twelve monthly payments. Each paid tier in this example has a $900 difference between those billing choices.
One account-owner help article still lists lower Business Plus rates than the current pricing page and overage table. The budget above follows the latter two sources. Confirm the rate shown on your order before purchasing, particularly for an existing or negotiated account.
The annual comparison assumes the same five people need access all year. A short project or changing roster needs a separate calculation using actual access periods. A lower twelve-month total does not make annual prepayment the right choice for someone who only needs the software for part of that period.
Choose the tier from the record you need to deliver
Pro for reports and drawing comparisons
Fieldwire’s Pro feature page lists reports and exports, sheet comparison, custom task statuses, and unlimited projects and sheets. Evaluate it when a task and its photo must become a report for the office or when the field team needs to compare revisions. Unlimited projects does not mean unlimited people are covered by one paid seat.
Use one task with a location, assignee, photo, and completion status in the demonstration. Export the report and ask its recipient to identify the source task and drawing. This checks the handoff that justifies the upgrade rather than assuming that a report button produces the required record.
Business when the crew needs a custom form
The Business feature page adds custom forms, integrations, a BIM viewer, and custom task attributes. A checklist item and a structured daily report are different inputs: decide which fields, signatures, and review steps the record requires. Fieldwire’s timesheet documentation describes using forms on mobile online or offline.
Configure a representative form before buying the tier for every user. Have a superintendent complete it and an office reviewer check the resulting record. If daily reporting is the main purchase, the construction daily report software comparison provides a broader field-workflow test.
Business Plus for the dedicated RFI process
Fieldwire’s RFI introduction identifies Business Plus as a purchase route for the RFI module. A custom form named RFI in Business is not proof that the dedicated workflow is included. Fieldwire separately documents RFI forms, so ask the demonstrator to name the feature being shown.
Follow a real question from the field through the responsible responder and back to the crew. Check that the answer and supporting document remain attached to the correct record. The RFI software comparison helps define that acceptance test before paying for a broader project-management tier.
Offline work needs device preparation
Offline access is a mobile behavior, not a reason by itself to buy Business. Fieldwire’s offline instructions describe iOS and Android access to downloaded project content. Sign in and download what the crew needs before leaving the connection. New content syncs after reconnecting with the app open; the same article excludes the beta Windows app and Surface Pro from offline support.
Prepare a drawing and task on the device, disconnect, add a photo and note, then reconnect and inspect the web record. Fieldwire’s mobile task instructions explain that offline tasks receive their numbers after syncing. Confirm the crew can recognize the task during both states. This is a proposed trial procedure, not a completed test.
Review collaborators before invitations become charges
Fieldwire’s account-owner documentation says project and account users need coverage from the owner’s subscription or their own paid subscription. Check who can invite people and review the roster when a subcontractor finishes. Project access and account roles also serve different purposes, so billing coverage does not establish permission to every project.
Under the documented annual overage rules, additional uncovered users are charged at the selected tier’s monthly rate. Audit the unique roster before renewal and before adding another trade. Keep temporary access periods in the budget instead of assuming every collaborator is free or buying a year for every short visit.
Where Permute fits with field reporting evidence
Permute sells connected business data and custom applications. We can scope reporting that combines permitted field exports with other project records, preserving source identifiers and access controls. A superintendent’s completion status and an accounting cost entry describe different events; the report needs explicit rules before it relates them.
Give the project manager a path back to the source task or form and show when its data was refreshed. Fieldwire’s integration documentation distinguishes built-in integrations from API access that requires sales contact. Verify the export or API route before promising an automated connection.
What remains in Fieldwire
Permute does not replace Fieldwire’s mobile capture, offline synchronization, or project review workflow. This article does not promise a ready-made Fieldwire connector. We support structured data and application work within a scoped implementation; the crew still owns the accuracy of its field observations.
Inspect a sample field export
Start with permitted project records and the identifiers needed to connect them to reporting.
Check the handover before changing plans
Before a downgrade or switch, export the required records while the relevant features remain available and test the files with their intended recipient. Fieldwire’s downgrade documentation describes Basic thresholds and access consequences. Retained data and continued access to every paid function are different promises.
Choose the Fieldwire tier from the work the crew must complete and the records the office must receive. Count all covered users, then compare annual and monthly billing for their expected access periods. Test offline preparation on the devices that will go to site. Keep the current plan when it meets those requirements, and confirm the order terms before upgrading.
Review the field-to-office reporting handoff
Bring a field report and the project or cost view it needs to support so the data requirements can be scoped.
Questions about Fieldwire costs and access
Does Basic allow five users per project?
The documented limit is five unique users across the account’s projects. It also limits the account to three total projects and 100 total sheets. Adding another project does not create another free allocation.
Can only the account owner buy a paid seat?
The owner manages billing, but other users still require coverage unless they have their own qualifying paid subscription. Check the roster before upgrading or inviting collaborators. A person’s project role does not make their access free.
Is the annual rate paid one month at a time?
The annual rate is displayed as a monthly equivalent, with payment for the year upfront. The monthly subscription has a different rate. Compare the same people and access period rather than mixing those two price presentations.
Does an RFI form in Business include the RFI module?
A custom form and the dedicated RFI workflow are separate features. Confirm which one the demonstration uses and which subscription covers the response process you need. The purchase decision should follow the complete question-and-answer workflow.
