Connect a Test Account selects a sandbox company, whose data is separate from a live company.
Before you start
- A QuickBooks primary admin, Company Admin, or Accountant Firm Owner who can connect apps for the intended company.
1. Add QuickBooks in Permute
In your workspace, open Connectors, select Add Connector, choose QuickBooks, and name the account.
2. Authorize QuickBooks
- For a QuickBooks sandbox, select Connect a Test Account. For a standard account, leave that option off.
- Select Connect to QuickBooks.
Permute connects to a live QuickBooks Online company by default. Select Connect a Test Account for an Intuit sandbox company. To return to live data, select Connect a standard account. A sandbox is separate from live company data.
Check this choice before selecting Connect to QuickBooks. An empty test company will not contain the transactions from your live company.
Approve the right company
Sign in as the QuickBooks company’s primary admin or a Company Admin. Accountant Firm Owners can also connect apps for their clients. Choose the intended company and review the authorization before approving.
If you manage several companies, confirm the company shown on the authorization screen. A completed connection reads the company you approved, not every company under your Intuit login.
3. Check the first result
- Confirm whether you selected a live or test QuickBooks company.
- Check the company name on the Intuit approval screen against the accounting company you intended.
Understand the source
QuickBooks source records
| Provider term | Meaning |
|---|---|
| Invoice | A customer transaction to which a payment may be applied. |
| Payment | A separate record that may be applied to one or several invoices, or left unapplied. |
| Customer reference | The link from an invoice or payment to its customer. |
Compare the right accounting record
In QuickBooks Online, an invoice has a customer reference and line items. A payment is a separate object and may be applied to several invoices or left unapplied. An invoice total and a payment amount therefore answer different questions.
In QuickBooks, identify the company and the specific record before comparing totals. For an invoice with an unpaid balance, check whether any payments were applied. A payment applied to several invoices has several links to inspect. These source records explain differences between invoice and payment amounts.
Troubleshooting
| Problem | What to check |
|---|---|
| Cannot approve the connection | Ask the company’s primary admin, a Company Admin, or its Accountant Firm Owner to authorize it. |
| Live records are absent | Check whether Connect a Test Account was selected. |
| The wrong company appears | Repeat authorization and choose the intended company in Intuit. |
